PBHCI Grant Assistant

Upper Manhattan Mental Health Center


Upper Manhattan Mental Health Center (UMMHC), a comprehensive behavioral health clinic that has served Washington Heights for over 30 years, is seeking a Grant Assistant for our Primary and Behavioral Health Care Integration (PBHCI) program. PBHCI is a transformative initiative, funded by the Substance Abuse and Mental Health Services Administration (SAMHSA), that is designed to improve the physical health status of people living with mental illnesses and/or chemical addiction, thereby helping to improve and ultimately, save lives of individuals in our community.

The Grant Assistant is responsible for data management, administrative support and fiscal management. Specific responsibilities include but are not limited to:

•Collect data from multiple sources, compile and clean data in Microsoft Excel and report on data following prescribed formats under strict deadlines. The ability to learn how to use various Electronic Medical Record software is required. Must employ data management best practices.
•Create ad hoc reports, data summaries, and visualizations. Create, maintain and/or improve data tracking systems.
•Monitor program budget; complete purchase requests and check requests; work closely with Finance Department to ensure prompt payment to vendors. Complete and/or contribute to federal financial reports. Ensure all spending is in compliance with grant rules and regulations.
•Submit payroll timely for themselves and program staff, create and maintain schedules for part-time staff.
•Manage daily operations, including calendar, phone and email communications, schedule educational workshops and create print advertisements for workshops using Microsoft Office Suite. Act as a contact/resource person for internal and external activities, order supplies and monitor inventory.
•Implement processes to improve workflow levels and efficiency. Track program deadlines and corresponding deliverables.
•Independently respond to and compose correspondence. Write and proofread memos and reports. Maintain and disseminate meeting minutes; develop documents for presentations or meetings.
•Other duties as required.


BA/BS with coursework in business, project management or public health and prior experience working with federal grants or in a behavioral health setting OR a combination of education/training and demonstrated knowledge and experience with data management, administrative support and grant management. Prior experience with and understanding of NIH systems (eRA Commons, ASSIST) is preferred. Knowledge, experience or interest in primary or behavioral health care is preferred.

Strong proficiency in the use of Microsoft Office Word, Excel, Outlook and PowerPoint, working knowledge of Access. Superior Microsoft Excel proficiency which MUST include the following: sort and filter data functions, IF, SUMIF and COUNTIF, VLOOKUP and INDEX-MATCH, Pivot Tables, conditional formatting, macros and worksheet formatting, tables and charts.
